Meet #3 - Heat Sheet & Info

Waverunners,

Please use the attached heat sheet to print out and use at the meet. You can also find your swimmer's events on SwimTopia live on the app. Make sure to ensure we have enough volunteers for the meet, as of now we still have needs in 4 areas!

Meet #1 Theme - Neon Night:

Each meet will have a theme we follow. This is meant to make things more fun and relaxed for our swimmers. For our Neon Night theme, we ask swimmers to bring their favorite neon apparel to wear. We will have a small item to hand out for each swimmer for our theme as well as heat awards. We have a photo booth at each meet near the pool entrance for everyone to take pictures with their family & friends!

Swim Meet Outline:

  • 4 PM - Waterton Communities Pool closes to members for swim meet set up
  • 4-5 PM - Concession stand set up, pool set up, deck cleanup of furniture, team arrival (please try to be at the pool by 5:15 PM)
  • 5 PM - visiting team arrives
  • 5:05 PM - visiting team begins warm-ups
  • 5:30 PM - Waterton warm-ups
  • By 5:30 PM - volunteers check in at the computer room
  • 5:45 PM - Timers/Judges/Starter Meetings
  • 6:00 PM - Meet begins

Meet Format:

Our swim meets tend to last close to four hours, with most of the 10 and under events coming in the first two hours. As you familiarize yourself with our heat sheet and pacing, you can better gauge when you can leave once your swimmer has finished their events and you have served your volunteer spots at each meet. We recommend you check in with coach prior to leaving to ensure you are not needed for a relay.

Each swimmer can swim up to 3 individual events and two relays. Relays are generated by the best times in each stroke or in freestyle. Each gender and age group has two relays: freestyle (all swimmers do freestyle) and medley (each swimmer does a different stroke). At our meets we will try to have as many relays as possible so our swimmers can get more practice, it just depends on our numbers at each meet.

Bring a sharpie to write your swimmer's info on their arm or leg as well as their name and age on the back of their shoulder. This information helps the swimmers remeber what events to swim and report for as well as helps our volunteers get swimmers where they need to be.

For example: if your swimmer is in the following events:

  • Event 2, heat 3, lane 1
  • Event 26, heat 2, lane 5
  • Event 36, heat 1, lane 3

you would draw this on their arm/leg:

Concession Stand:

We will have a full concession stand at each home meet. We carry a variety of candy and chips for snacks. Beverage wise we have soda, water, and Gatorade. Hot foods we have pizza, hamburgers, cheeseburgers, hot dogs and baked potatoes while supplies last. WE WILL HAVE BBQ SANDWICHES WHILE THEY LAST! We do offer cash and credit card payment options.

Meet Rules & Expectations:

  • Please park properly in the parking lot. We will have some reserved spots for key volunteers to load and unload their gear for the meet, but the rest of the parking lot is first come first serve. We ask that all overflow parking parks on the left side of the street (from the perspective of one driving towards the pool). This leaves room for cards to come in and out and for an ambulance to get to the pool quickly in case of an emergency
  • Parents must stay in the observer's section at all times except when recording/watching their swimmer
  • We ask that the area at each end of the pool be kept as clear as possible outside of times you are watching/recording your swimmers, we need that space for our volunteers, swimmers, and coaches to operate
  • There will be no traffic near the starter stand, we will have this blocked off. This area is for coaches and head volunteers only to help keep the meet on track
  • We encourage good sportsmanship at all times, including with our own kids. We are all competitive, but a huge part of the success of summer swim is encouraging one another. Waterton is a positivity-only zone :)
  • Please make sure you report by 5:30 PM to the computer room to check in on meets you have first-half volunteer shifts, and by event 30 for second-half volunteers
  • Keep your area clean

Reminders for Swimmers:

  • What to have with you:
    • Goggles (we recommend having 2 pair so they are not lost)
    • Team shirt 
    • Towels (we recommend two, one for sitting one for drying)
    • Swim cap (we recommend having multiple in case one breaks)
    • Hydration (we are at the pool for 3+ hours)
    • A full belly (pre-meet nutrition is key to having a good meet!)
